Privacy notice
This notice covers email enquiries and planned care administration. Retention periods and supplier safeguards must be completed before paid bookings or automated logging are activated.
1. Who is responsible?
Kaladian Technologies s.r.o., IČO 29911770, registered office: Nad Vápenkou 383, 250 83 Škvorec, Czech Republic; registered at the Municipal Court in Prague, section C, file 454414. Pohoda Paws is its pet-care brand. Care location: Pantůčkova 590/2, 250 83 Škvorec. Visits are by appointment. info@pohodapaws.com · +420 774 735 247 SMS or email, please.
2. What information do we use?
For enquiries and bookings, we use the owner’s name, contact details, location, requested dates and services, quote, agreement, invoices and payments. We also record information needed to care for the pet, such as identification, routines, food, behaviour, medication instructions, veterinarian and emergency contacts, and relevant incident records. Please provide only information relevant to the service.
3. Why do we use it?
We use these details to answer enquiries, assess suitability, prepare and perform the care agreement, communicate during the stay, manage emergencies and payments, keep legally required accounting records, and handle claims or disputes. The relevant grounds are steps toward and performance of a contract, compliance with legal duties and, where appropriate, legitimate interests in safety and claims management. Optional promotional use of identifiable photos requires a separate, freely given choice.
4. Who may receive information?
Only authorised people who need your information to arrange, provide or administer pet care may access it. We use Google Workspace for email, Google Sheets for enquiry records once the logger is activated, and Fakturoid for invoicing. Our website hosting providers handle the technical information needed to deliver the website.
Where necessary, relevant information may also be shared with your veterinarian, an agreed transport provider, our accountant, insurer or a competent public authority. We share only information needed for the relevant purpose.
Supplier agreements, subprocessors and any transfers outside the EEA still require verification before paid bookings or automated logging are activated. This notice does not claim that every provider stores information only in Czechia or the EEA.
5. How long is it kept?
Passing the 25% booking-payment deadline or the 75% balance deadline changes the enquiry or payment status; it does not automatically delete the record. An overdue record may be marked “Payment overdue — awaiting follow-up”. When a booking will not proceed, it may be marked “Closed — unpaid”. Neither status extends a reservation or permits care to begin without the agreed full payment.
We retain information needed to handle an active enquiry, payment follow-up or agreed stay. After payment, the contact, care and emergency details needed for the stay remain available until care and the related settlement are completed. We then review the record and delete information no longer needed, keeping only what is justified for accounting, an unresolved issue or legal claims.
Closed records are not kept indefinitely merely because they have a status label. The specific review and retention periods for closed enquiries and ordinary care records must still be adopted before paid bookings or automated logging open. Accounting documents follow applicable statutory periods; relevant records for an unresolved dispute or legal obligation are kept only for that purpose and with restricted access.
The prepared logger does not automatically delete emails, spreadsheet rows or documents. Deletion and review must be managed across the mailbox, Google Sheets, care files, Fakturoid and any copies or backups.
6. Your choices and rights
Your rights include lodging a complaint with the supervisory authority: ÚOOÚ.
You can ask to access, correct or, where applicable, erase your personal data, restrict its use, object to certain processing, or receive portable data. You can withdraw optional consent, such as consent for promotional photos, without affecting care already provided. Contact info@pohodapaws.com.
We respond to data-rights requests without undue delay and normally within one month. If a lawful extension is needed due to complexity or volume, we explain it within that month. Proportionate identity verification may be requested. Contact details are needed for a reply, and later care details are needed to assess suitability.
7. Website and email enquiries
The form prepares text locally and opens your email app. We receive the enquiry only if you send it to info@pohodapaws.com. The website does not save form details or confirm delivery. The address is an alias in the existing company Google Workspace account. Automatic Google Sheets logging is prepared but is not active in this version. When activated, it will register received messages, not clicks that merely open an email composer. Please keep detailed medical records for the later care discussion.
8. Technical data and acknowledgment
Our enquiry form does not set advertising or analytics cookies. Our website hosting provider processes the technical data needed to deliver the website, such as your IP address. Fonts are served from our own website, so no font service is contacted. Google Maps opens only when you follow the location link. The checkbox acknowledges that you have read the notice and terms; it is not marketing consent or a waiver of rights. Decisions about pet suitability are made by people.
9. Pet photographs and website permission
We may take pet photographs during care for agreed private updates. Photographs may also appear on the Pohoda Paws website only if the owner gives separate, optional permission. We do not publish owner details, addresses or recognisable people under this pet-photo permission. Refusing permission does not affect care. You may withdraw permission for future website use by emailing info@pohodapaws.com; we stop new use and remove the relevant images from our website, while copies already made by third parties may remain outside our control.
Where a photograph or related record identifies a person, optional website publication relies on their consent. We keep a record of the permission and withdrawal. Public-use copies are kept only while the permission remains valid and needed for that purpose; limited evidence of permission or a dispute may be kept where legally justified. Private care updates are handled as part of the agreed care service.
